The William and Flora Hewlett Foundation, based in Menlo Park, Calif., seeks a Program Associate to support both the Economy and Society and Racial Justice initiatives.

About the Economy and Society and Racial Justice initiatives

The Economy and Society Initiative is a five-year, $50 million effort to help develop a better kind of capitalism in the 21st century. Neoliberalism, the market fundamentalist intellectual paradigm that has dominated political and economic debate for half a century, has run out of answers for confronting today’s biggest challenges, from the climate crisis, to rising inequality, threats to democracy, and the moral imperative of racial equity. Solving these problems will require more than just policy solutions; in most cases, there is no shortage of policy solutions. To achieve consensus on them, we need a new “common sense” about how the economy works and the goals it should serve, and about how the economy should be structured to promote those goals. Much as philanthropy played an important role in bringing about the rise of neoliberal economic philosophy, the goal of this initiative is to bring about a successor to neoliberalism better suited to solving society’s biggest problems.

The Racial Justice Initiative (RJI) is a newly approved, 10-year, $150 million effort focused on racial justice. The RJI strategy is emergent but will focus on one or both of the following broad areas: building political strength and capacity or addressing pervasive disparities in the economic power and welfare of Black, Indigenous, and People of Color (BIPOC) communities. The foundation is currently supporting a search for a Director of RJI, who will develop and implement the final strategy.

About the position

Supported by the directors of each initiative, the Program Associate will serve as the central coordinator for the teams. In this capacity, he/she/they will also be responsible for a combination of programmatic and grants management support. The responsibilities pertain to the foundation’s internal departments and external constituents.

Essential duties and responsibilities


  • Supports and contributes to team collaboration and learning about strategy, grantees, field, program, etc.
  • Assists Director with meeting and event planning, including preparation and review of documents and materials, as well as logistics and technology.
  • Develops and maintains positive, collaborative relationships with external partners and internal foundation departments, particularly Grants Management, Finance, and Legal.
  • Manages and responds to inquiries about the program. May act as a representative for the program in a variety of contexts or settings. Supports Director in developing team meeting agenda, including planning and scheduling.
  • Works with appropriate foundation staff to develop and execute contracts.
  • Supports Director with limited scheduling and calendar management.

Grants Management

  • Oversees the life cycle of the grantmaking process by: supporting program staff in proposal solicitation and receipt; reviewing submitted documents and materials for adherence to foundation policies and procedures; organizing and responding to communication with grantee; and monitoring the reports queue to ensure timely review, response, and closure.
  • Collaborates with Director to develop, maintain, and monitor the initiative’s annual budget, including organizational effectiveness support, and tracking grant spending and pacing.
  • Contributes to preparing board materials, including reviewing documents, and formatting charts and graphs.
  • Serves as lead on program mailings and communications with current and potential grantees.

Required skills and knowledge

  • Bachelor’s degree, or equivalent experience, desired.
  • Demonstrated interest, or experience working in, the field(s) of either or both initiatives.
  • Demonstrated experience working in collaborative teams or settings.
  • Experience working with individuals with diverse styles and backgrounds.
  • Strong written and oral communication skills, including interpersonal skills and a team orientation.
  • Strong organizational skills, sharp attention to detail, and persistence in following through on projects.
  • Excellent computer skills and proficiency with the Microsoft Office Suite or Google Apps; open to learning new tools and systems.
  • Proven ability to prioritize and handle multiple tasks independently; effective management of shifting priorities and time-sensitive projects to meet deadlines.

While performing the duties of this position, the employee is regularly required to sit for extended periods of time and to travel via various modes of transportation for extended periods of time. The foundation employees are currently working remotely until September 13, 2021.

Effective September 13, 2021, the foundation will require all staff, vendors, and visitors accessing our office to be fully vaccinated against SARS-CoV-2, the virus that causes COVID-19.
